Terms and Conditions
Reservations and Payments:
Discuss your travel plans with our travel professionals. CTS will send you a draft itinerary and a fee estimate. To apply for the tour, send us a completed application and a deposit check of $300 per group. Credit cards are not accepted. With your acceptance and acknowledgement of the draft itinerary, CTS commences working on a preliminary itinerary, booking accommodations and rail tickets. If you are satisfied with the preliminary itinerary, you are required to pay one half of the balance of our service fee within 14 days after you receive the itinerary. If we do not receive the payment by due date, the reservation will be cancelled. With your acceptance and acknowledgment of the preliminary itinerary, we will work on the final itinerary. If you are satisfied with the final itinerary, you are required to pay the balance of our service fee within 14 days after you receive the itinerary. Failure to comply with the requirement will result in automatic cancellation of tour reservations.
Cancellation Policy:
DIY Japan Tour Service fee is non-refundable.
Changes by Clients:
A service fee of $50/hour will be charged for any changes to the itinerary after your acceptance of a preliminary itinerary.
Change during the tour:
If you wish to change your reservations for lodgings, train/bus/ferry tickets, and/or guide services during the trip, contact the service providers and pay for cancellation/change fees according to their policies. In case of a cancellation without notice, penalty will be charged to your credit card in accordance with the service provider's policy. In addition, CTS will charge a service fee of $50/hour for the transaction.
Rail Tickets Policy:
Reserved-seat train tickets are booked one month prior to the ride. You will receive the tickets at your first hotel in Japan when you arrive. Once issued, the tickets are non-changeable and non-refundable in the U.S. However, you can change, cancel, or refund the tickets after you arrive in Japan according to the rules and regulations of the train company. In such case, you are required to request the service in person at a Green Window of the train station. If the train is cancelled or delayed for longer than two hours, you will be able to receive a full or a partial refund of the ticket price at the train station in Japan.
Change of Tour Price and Itinerary by CTS:
CTS reserves the right to make reasonable adjustments in itineraries and cost in accordance with the circumstances of lodgings, rail and bus companies, local guides and unforeseeable situations. In such cases, CTS staff will notify you and provide alternative itinerary and cost estimates. If the alternative itinerary and/or the revised cost estimate is not accepted by the client, the reservations will be cancelled and your payments, except a $300 deposit, will be fully refunded.
Non-smoking room:
We make every effort to accommodate your requests for non-smoking rooms in lodgings in Japan. However, we cannot guarantee their availability. Non-smoking rooms may not be available at some Japanese inns and hotels in small towns.
Passport and Visa:
You are responsible for obtaining any legal documentation required for Japan travel.
Intellectual Property Rights:
No part of travel itineraries prepared by CTS may be reproduced for or transferred to other persons or organizations without CTS's express permission.
Travel Insurance:
CTS strongly recommends the purchase of travel insurance to provide coverage for any unforeseen situations.
Conditions of Tour Application:
You have to be self-reliant, flexible and open-minded to different cultures and traditions. You also have to be able to use the Internet and e-mail. A client under 18 years old should be accompanied by his/her parent or guardian. A participant with any pre-existing physical, mental, or emotional condition that requires attention or treatment should be accompanied by a qualified, physically/mentally able adult companion.
Community Travel Service's Responsibility:
The responsibility of Community Travel Service LLC is strictly limited. As a tour operator, CTS organizes, promotes and sells tour programs consisting of certain travel services, including but not limited to, transportation companies, sightseeing excursions, accommodations, food services, and suppliers of travel services which CTS purchases and/or reserves from various suppliers.
The suppliers providing travel services for CTS's tour programs are independent contractors and are not agents or employees of CTS. CTS assumes no responsibility or liability in connection with the operation of their services. CTS will not be responsible for the willful or negligent acts, errors, or omissions of such suppliers or their respective employees, agents, or representatives including, without limitation, their failure to deliver or their partial or inadequate delivery of services.
By utilizing the travel services of the suppliers, you agree that neither CTS or any representative shall be liable for any accident, injury, death, property damage or personal loss to you or to those traveling with you in connection with any accommodation, transportation or other travel services, resulting directly or indirectly from any occurrences or conditions beyond CTS's control including, but not limited to, acts of terrorism, hijackings, wars, defects in vehicles, strikes, or thefts or delay of services.
Optional tours, guided or otherwise, are to be utilized at your discretion and sole judgment. CTS's choice of these optional tours are made on information available when selected. CTS does not assure, however, the continuity of the circumstances prevailing when the selections were made and/or that such optional tours assure the safety, convenience and personal well-being of your person.
CTS reserves the right to decline to accept any person as a member of the tour, or to require any person to withdraw from the trip at any time who presents a significant risk to the health, or safety of himself/herself or others.
